Data we collect

• Identity and contact details: name, email address, phone number, home address, date of birth, national identity number and tax number.
• Employment details: employee ID, job title, department, branch, reporting line and employment status.
• Financial details: bank account details, salary components, payslips and tax calculations.
• Attendance data: clock in and clock out times, work schedules, shifts, leave and time off records.
• Location data: your device location at the moment you clock in or out, used to confirm you were at an approved work location.
• Photos and documents: selfies taken when clocking in or out, your profile photo, and files attached to reimbursement and expense claims.
• Device data: push notification identifiers, app version and basic diagnostic information.

How we use your data

• To record attendance and working time.
• To calculate and deliver payroll and payslips.
• To process leave, reimbursement and expense claim requests and route them for approval.
• To send notifications about requests, approvals and announcements.
• To keep the service secure and to investigate misuse.

Camera and location permissions

Qinerja asks for camera and location access only for attendance. Location is read at the moment you clock in or out, not continuously in the background. If you decline these permissions, the attendance features that depend on them will not work.

Who can see your data

Your data is visible only to the parties listed below. We do not sell your personal data and we do not use it for advertising.

• The HR, admin and management users at your company, according to their role.
• The approvers assigned to the requests you submit.
• Our service providers, who host and operate the platform on our behalf.

Storage and security

Your data is stored on cloud infrastructure and protected in transit and at rest. Sensitive financial fields are encrypted, and access is restricted according to role.

How long we keep your data

Your data is kept for as long as you are registered in Qinerja by your company. After your account is deleted, your personal identifiers are removed. Attendance, payroll and tax records are kept without those identifiers for as long as Indonesian employment and tax regulations require your employer to keep them.

Deleting your account

You can ask for your account and personal data to be deleted at any time. The account deletion page explains the steps, what is deleted and what is kept.

Your rights

• Ask what personal data we hold about you.
• Ask us to correct data that is wrong.
• Ask us to delete your account and personal data.
• Withdraw a permission you granted earlier, through your device settings.

Changes to this policy

If we change this policy we will update the date shown at the top of this page.
